Client Database

Your clients, front and center

No more paper notebooks and forgotten phone numbers. Horsika brings contacts, lesson history, memberships, and notes for every client into one database. Profiles are created automatically on a client's first online booking.

Client Database — HORSIKA
1

A client card with the full history

Name, phone, email, birthday, internal notes — all in one profile. See the full booking history: how many lessons they've had, which trainers they've worked with, their payment status. The card is created automatically on their first online booking — nothing to enter by hand.

On a client's first booking, the system creates their profile with name and phone number. You can add notes (e.g., "needs a calm horse"), a birthday, and an email. Trainers see the clients from their own lessons in their dashboard.
2

Automatic activity status

The system figures out on its own who's a regular, who's new, and who hasn't been around in a while. Statuses are calculated from booking history: "New" — one lesson in the last 3 months, "Regular" — 2+ lessons, "Inactive" — no visits in 3-6 months, "Lost" — over 6 months.

Status is calculated automatically and shown as a colored badge in the client list. You can filter your database by status — for example, pull up every "lost" client and try to win them back.
3

Personal discounts and a blacklist

Set a discount percentage for a regular client, and it's applied automatically on every booking. And if a client keeps no-showing without warning, add them to the blacklist so they can't book online.

In the client profile, you set a discount (0-100%) and a blacklist toggle. The discount is automatically factored into the lesson price. A blocked client sees a message that booking isn't possible.
4

Memberships and payments in the client profile

The client card shows every active membership: sessions remaining, expiration date. Plus stats: total lessons, amount paid, outstanding balance — all in one place.

The "Memberships" tab shows every package sold, with balances and statuses. The "Bookings" tab shows the full lesson history, filterable by date and status.
